ROSWELL CONVENTION AND CIVIC CENTER GENERAL POLICY

It is the policy of the governing body of the City of Roswell and the CVB Management LLC to give priority to the scheduling of the Roswell Convention and Civic Center (RCCC) for those events that will bring visitors into the area. Conventions are of prime concern and importance to the city and will be scheduled long periods in advance.

  1. Reservations and Rental Agreements will be made only with the CVB Management LLC Convention and Visitors Bureau.
  1. A letter formally requesting the reservation of the RCCC, Plaza (and/or both) and the reason for such request, must be submitted to the RCCC within five days after the tentative reservation is made. If the letter of request is not received, the tentative reservation may be canceled to honor other requests for that date. The Rental Agreement must be completed 72 hours after approval is received from the CVB.
  2. Daily use begins at 6:00 a.m. and terminates at midnight the same day, unless prior arrangements are made with the RCCC Director for a different time span.
  3. When use of the building continues past time for which rent has been paid, an hourly charge may be assessed.
  4. Security for an event promoted by the Lessee will be required. Security for an event promoted by Lessee shall be at the Lessee’s expense. An approved list for security services is available from the RCCC Facility Director.
  5. Lessee of the RCCC facilities will be liable for and required to show proof of liability insurance coverage at least ten (10) days and no more than twenty (20) days prior to an event (See insurance requirements).
  6. Schedule of rates are basic and include air conditioning, heating, normal maintenance, public address system, lighting and permanently installed outlets. Any additional equipment or facilities may require an additional charge.

 

LOCKED AREAS AND CLOSETS

For access to a locked area or closet, please call the RCCC office.

BATHROOMS

Bathrooms must be cleaned after each event. Failure to do so will result in partial forfeiture of the cleaning deposit.

DIRECT ELECTRICAL CONNECTIONS

No direct electrical connections, where a standard receptacle is not provided, shall be made to the RCCC system without prior approval of the RCCC Director. Any such connection, when approved, shall be made only by an electrician provided by the City of Roswell. Where electrical connections are used for booth space lighting and/or operation of equipment there will be a $20 charge to be paid upon signing the rental agreement. The rate charged to the RCCC user when the services of a City Electrician are needed, shall be $35 per hour.

CLEANING DEPOSIT

A $500 minimum cleaning deposit is required for the RCCC.

A larger deposit or damage deposit may be required.

The Cleaning deposit will be added to the event charge. One-half of this amount is due upon signing of the rental agreement.


FIRE INSPECTIONS WILL BE CONDUCTED. DO NOT BLOCK FIRE EXITS. 49 INCH AISLES MUST BE MAINTAINED. NO OPEN FLAMES. NO FLAMMABLE LIQUID CONTAINERS IN THE BUILDING.

RCCC INSURANCE REQUIREMENTS

The following insurance requirements have been set for the City of Roswell.

A Certificate of insurance must be provided to the CVB Management LLC Convention and Visitors Bureau, at least ten (10) days and no more than twenty (20) days prior to any event. This certificate must have $1,000,000 Combined Single Limit of Liability for Bodily Injury and Property Damage.

The CVB Management LLC and the City of Roswell will be named as additional insured parties. Once a certificate of insurance is provided on a Short-term basis, there will need to be at least a thirty day written notice of cancellation of the policy.
